Quick Tip: Exporting Your Canvas Gradebook

POSTED: May. 06, 2025

We hope your finals week is going well!  As you work on final grading and closing out the semester, we’re writing with our last Quick Tip in the Canvas Gradebook series.
Export Your Canvas Gradebook

Canvas retains all gradebook data, and you can access gradebooks and student submissions from your concluded courses at any time.  However, some instructors like to maintain their own grade records as well, which is where exporting comes into play.

Exporting Your Gradebook

To download a copy of your Canvas Gradebook as a CSV file, follow these steps:

  1. Navigate into your Canvas course.

  2. In the course navigation menu on the left, click on the Grades link.

  3. In the top right corner of your Gradebook, click the Export button.

  4. Select your preferred option from the drop-down menu:

    1. Export the Current Gradebook View: This option allows you to use searches or filters to limit the data you export as desired.

    2. Export Entire Gradebook: This option allows you to export the entire gradebook regardless of any searches or filters.

  5. Your export will begin.  You’ll see a confirmation message and progress bar at the top of the page.

  6. Once downloaded, you can open the gradebook file in Excel.

You can repeat this process for any additional courses as desired.

Considerations

  • As with any student data, make sure to keep all gradebook export files secure.
  • If an assignment has multiple submissions, the CSV file will only include the grade for the most recent submission.
  • The CSV file will not include concluded and inactive enrollments.
  • Complete/incomplete assignments display as either full or no credit.

Thanks for joining us for this semester-long Quick Tip series.  We hope that these tips and tricks have been helpful in making your grading processes more efficient.

We hope you have a wonderful summer, and we’ll be back with new Quick Tips in the fall.
