Application Process, Timelines, and Meeting Dates

IACUC approval can take about 6 weeks, depending on the complexity and completeness of the submitted application, as well as the volume of applications, including IRB requests, arriving in our office, so we encourage researchers to plan accordingly and consider meeting dates if applicable. 

Materials for items that require full committee review are due by 12 p.m. 5 business days prior to the meeting.

Getting Started

  1. Complete CITI and Occupational Health Training.
  2. Complete laboratory training as well as any other supplemental training that may be specific to the project. Remember to document all training. 
  3. As needed, meet with the Facility Manager, the study PI, contact the Office of Research Compliance or Veterinary staff.

  5. Allow for up to 6 weeks of review time, but review timelines are greatly affected by the complexity and completeness of the application as well as the total number of requests received, which include IRB workload.  
    1. Meetings dates are only applicable to projects that involve Category E procedures or are otherwise requested for Full Committee Review. A study must be submitted on or before the agenda deadline to be reviewed by the committee at that month's meeting.

Prepare and submit the IACUC Application

  1. Download the form.
  2. Make note of common IACUC comments.
  3. Submit the form via Kuali Protocols.
    1. Open Kuali Protocols.
    2. Click New Protocol.
    3. Click IACUC.
    4. Complete the baseline information, the personnel section (including Occ Health Certificates), and upload the Word/PDF protocol.
    5. Click Submit.
    6. If you receive a validation error, it means a mandatory response was not completed. Follow the prompts to correct the error, contact researchcompliance@kent.edu if assistance is needed.
  4. You will receive a notification of submission received and applications are typically distributed within 1 business day. Projects are prereviewed, so you may be asked to address comments prior to the project being distributed. 

Review

  1. Comments/Approvals/Request for Full Committee Review are typically entered within 5 business days and the outcome is communicated to the PI.
  2. Addressing comments:
    1. Comments can be found in the Admin Notes section of Kuali Protocols.
    2. Revise the initially submitted document, highlight revisions.
    3. In Kuali Protocols, navigate to the protocol section and click Replace. 
    4. Upload the revised protocol.
    5. Click Submit. 

Post Approval

  1. Expiration reminders and check-ins are sent via Kuali. Please carefully review these notifications.
  2. Facilities and labs where animal use occurs are inspected on a semiannual basis.
  3. Changes in procedures must be reviewed by the IACUC prior to implementation. Amendment forms and instructions can be accessed on the Forms webpage.
  4. Adverse events and protocol deviations must be promptly reported to the IACUC.
